This is where the project is defined and shaped:<\/p>\n<p><span style=\"color: #03a8f3; padding-right: 8px;\">-<\/span> goals and objectives of the future project;<\/p>\n<p><span style=\"font-weight: 900; color: #03a8f3; padding-right: 8px;\">-<\/span> exact budget and timeline;<\/p>\n<p><span style=\"font-weight: 900; color: #03a8f3; padding-right: 8px;\">-<\/span> competitive advantages and user expectations;<\/p>\n<p><span style=\"font-weight: 900; color: #03a8f3; padding-right: 8px;\">-<\/span> structure, priorities and vision<\/p>\n<p><strong>An important detail!<\/strong><br \/>Goals and objectives are often confused, but they are 2 different entities.<\/p>\n<h5>Purpose<\/h5>\n<p>more upper-level, answers the question, \"What effect is expected after successful implementation?\".<\/p>\n<p style=\"color: #adadad;\">For example:<\/p>\n<p>The goal of the project is to speed up the time it takes to process a customer's request and get it into production.<\/p>\n<h5>The task is<\/h5>\n<p>a more specific entity. There are many methodologies for setting objectives. We use SMART. In other words, the objective must be: specific, achievable, measurable, meaningful (realistic), time-bound.<\/p>\n<p style=\"color: #adadad;\">For example:<\/p>\n<p>By the end of the month, reduce 20% customer request processing time by implementing a request acceptance system and training 50% operators.<\/p>\n<p>There are extended versions of the SMART methodology that flesh out more of the task parameters.<br \/>For example:<\/p>\n<ul>\n<li>SMARTER;<\/li>\n<li>SMARTTA;<\/li>\n<li>SMARRT;<\/li>\n<\/ul>\n<p>and others.<br \/>Everyone chooses according to their own needs.<\/p>\n<h4>An example of one of the realized projects:<\/h4>\n<h5>Project Objective:<\/h5>\n<p>Reduce the cost of servicing and maintaining the company's customers by creating an automated web-based system.<\/p>\n<h5>Project Objectives:<\/h5>\n<ul>\n<li>Speed up the process of adding a new company to the 90%;<\/li>\n<li>Exclude the operator from the process of adding a company;<\/li>\n<li>Reduce the processing time of the 20% application;<\/li>\n<li>Exclude the operator from the reporting generation process;<\/li>\n<li>Add recurring payment with companies.<\/li>\n<\/ul>\n<h2>Competitive advantages<br \/><span style=\"font-weight: 500;\">and user expectations<\/span><\/h2>\n<p>If you have reached the automation stage, you already have a competitive advantage. There are several types of competitive advantage:<\/p>\n<p>1. technological;<br \/>2. Resource;<br \/>3. Market-based;<br \/>4. innovative;<br \/>5. Cultural;<br \/>6. Managerial.<\/p>\n<p>You may have one clear advantage, or you may have a little bit of everything.<\/p>\n<p>To understand what really matters, you need to use 2 key techniques:<\/p>\n<ul>\n<li>In-depth survey of current customers;<\/li>\n<li>Competitive Analysis.<\/li>\n<\/ul>\n<p>We won't spell out the technology, because that's mostly a function of marketing. Let's just list the main ones:<br \/>1. SWOT analysis;<br \/>2. Porter's analysis;<br \/>3. PEST;<br \/>4. Where red is a direct competitor, yellow is a direct competitor with additional services, green is not our segment, blue is a potential partner.<\/p>\n<h2>Determination of budget and timeline<\/h2>\n<p>There is no concept of average price on the development market. One and the same project can have a 10x difference in both cost and implementation time.<\/p>\n<p>This is not about the greed of the owner at all. There are quite a lot of processes inside that are sometimes not evaluated. Test environment, maintenance, project testing, team professionalism, workload, training and many other things. Even the use of paid\/free\/own graphics with or without copyright.<\/p>\n<p>More often than not, a business will interview a few studios and make a competitive sheet with a tentative fork and key advantages.<\/p>\n<p>But, <strong>you only need to understand two parameters:<\/strong><br \/>1. Whether a particular company will fulfill the project;<br \/>2. whether the investment will pay off.<\/p>\n<p>On the first point, you need to look at the following parameters:<\/p>\n<ul>\n<li>Testimonials;<\/li>\n<li>Building a workflow process;<\/li>\n<li>Relevant Experience;<\/li>\n<li>Approach to work in the initial stages;<\/li>\n<li>Promises are the result;<\/li>\n<li>Ratings, portfolio, reputation.<\/li>\n<\/ul>\n<p>The second is more complicated.....<br \/>We calculate the following data:<\/p>\n<p>ROI = investment\/expected result in money * 100%<\/p>\n<p>ROI is often considered only on direct costs, forgetting about indirect costs.<br \/>For example, the cost of training employees on the updated process, system implementation, possible user attrition, etc.<\/p>\n<p>The following methods can be used to estimate projected time and cost:<br \/>1. Gauss Bell;<br \/>2. Poisson distribution;<br \/>3. Top-down\/bottom-up;<br \/>4. Game theory method;<br \/>5. Mastered volume method.<\/p>\n<p>But most often for business it is rocket science, so relevant teams are found and the project starts. Or flexible project methodologies are used. Goals and Objectives;<br \/>2. design description and prototype;<br \/>3. Project Structure;<br \/>4. Roles;<br \/>5. Description of functional blocks;<br \/>6. Description of special requirements;<br \/>7. Safety Requirements;<br \/>8. Cost and implementation period;<br \/>9. Criteria for acceptance of works;<br \/>10. Process Description.<\/p>\n<p>Half of these items are under- or over-detailed. The other half is interpreted in two ways.<\/p>\n<p><strong>We recommend:<\/strong><br \/>Describe project milestones and decompose tasks into sprints. But, even the initial ToR is useful for all parties, as it creates an understanding of the result for all parties.<\/p>\n<p>A list of tools that can help:<br \/>1. Miro;<br \/>2.
